This page explains what data Velocity Girona collects when you apply for a stay, complete the check-in form, or use the guest portal — and what we do with it.
Who we are
Velocity Girona is the trading name under which Phil Kooper rents Gironavilla in Sant Julià de Ramis, near Girona, Catalonia. Phil is the data controller for any personal data you provide.

What we collect
When you apply for a stay
- Your name, email address, and phone number
- Your travel dates and party size
- Your main interest (cycling, golf, etc.) and a short free-text introduction
When you complete the pre-arrival check-in
Spanish law (Royal Decree 933/2021) requires us to register every guest before check-in. To meet that obligation we collect:
- Photo of your ID document (passport, DNI, NIE, or EU national ID)
- Fields extracted from it: full name, document type and number, document expiry, date of birth, sex, nationality
- For the lead traveller: email, phone, country of residence, address
- For under-14 dependents: relationship to the lead traveller; optional parental authorisation document
- Your signature
- Your indication of whether to install the pool fence
- Payment method (and card last 4 digits + expiry, if paying by card)
When you use the guest portal during your stay
- A per-booking access token — no additional personal data is added at this stage
Automatically logged by our hosting provider
- Your IP address, browser type, and access timestamps
Why, and on what legal basis
| Purpose | Legal basis |
|---|---|
| Submitting your registration to the Spanish Ministry of the Interior (SES.HOSPEDAJES) | Legal obligation (RD 933/2021) |
We do not use your data for marketing. We do not sell it. We do not profile you.
Who else sees your data
To operate this site and deliver your stay, we share specific data with the following service providers. Each is bound by their own privacy practices and, where applicable, appropriate transfer safeguards under GDPR.
| Provider | What they see | Where |
|---|---|---|
| Netlify | Hosts the website | USA |
International transfers to providers outside the EU are based on Standard Contractual Clauses or other appropriate safeguards as required by GDPR.
How long we keep it
- Registration data and ID photos — 3 years after your stay, per RD 933/2021. Then deleted.
Your rights
Under GDPR, you have the right to:
- Access the personal data we hold about you
To exercise any of these, email hola@velocitygirona.com. We'll respond within one month.
If you believe we've handled your data unlawfully, you have the right to lodge a complaint with the Spanish Data Protection Authority (AEPD) — www.aepd.es.
Cookies and local storage
We don't use tracking or analytics cookies. The check-in flow uses your browser's local storage to remember that you've already completed registration on a given device — this can be cleared at any time from your browser's settings.
Changes to this policy
If we change anything material, we'll update this page and the "last updated" date above. For active stays, we'll let you know by email.
